Auto email recording from Outlook
A suggestino from the September 2023 networking session was to have the ability to auto record emails from Outlook without user interaction and without needing to have the HARMONiQ Outlook plugin developed by Micronet.
The way this would work is an integration service would be setup within HARMONiQ which would poll your email account on a regular basis, and retrieve all emails matching a certain condition (configurable by you). It would then attempt to find a matching contact in HARMONiQ based on the email address, and record that email against that contact for you.
Some of the suggestions around how this might work include:
- Only monitoring certain folders (eg have a folder called “Save to HARMONiQ”, and you can drag emails to that folder for processing)
- All settings configurable per mailbox - potentially have the option to share configuration for multiple mailboxes
- Option to only keep the last email in a conversation - every time there is a reply, update the Email Interaction recorded in HARMONiQ with the latest content and date etc.
- Option to save attachments to HARMONiQ
- Attempt to auto filter out any auto replies
- Option to record sent emails as well as received
- Additional conditions to filter out personal emails
- Option to manage where multiple users are receiving the same email - only record it once in HARMONiQ
- Option to create contacts automatically if their email address doesn't exist in HARMONiQ if there is a customer with a matching domain name
- Option to attempt to find related document in HARMONiQ and record against that - eg record the email against a related Sales Order or Work Project
This project would be quite complex and would take some time to refine and test all the rules - initial estimate for this project would be $13k to get the first working version, with a further $10k to work on some of the additional ‘nice-to-have’ features and any general feedback received from those using it.
